Job Summary:
The Workflow Manager works directly with the Principals, Business Manager and Marketing Manager to maintain architecture project schedules and coordinate workflow for all projects, including fee, calendars and staffing.

Essential Duties and Responsibilities include but are not limited to:

  • Manages and maintains firm’s project schedules, including fee, making changes to schedule as appropriate and distributing to the team for weekly and monthly planning purposes
  • Prepares and monitors staff members’ projected schedules by project
  • Maintains communications with all teams in the office
  • Refines electronic project management systems
  • Oversees status of client contracts
  • Updates and manages main contacts and mailing lists
  • Maintains files of prospective clients at interview and start-up phase

Other Duties:

  • Serves as executive assistant to the Principals
  • Prepares detailed itineraries for travel, including important numbers, locations and contacts
  • Acts as a liaison for clients, vendors and other office visitors
  • Develops and utilize historical past project information and ease of retrieval

Shared Duties:

Works collaboratively with the Business Manager and Marketing Manager to:

  • Step in to support each other as necessary
  • Help with general office and client support
  • Manage external and internal events
  • Organize professional development activities

Minimum Qualifications:
The job requires a bachelor’s degree and 3-5 years of experience

Desired Qualifications
Design, construction or architectural project management experience preferred

Working Conditions:
Most work is performed in a fast-paced and open office environment. Travel and flexible hours, including some evenings and weekends, are occasionally required.
